Management
– Go the Event menu item on wp-admin.
– Add Event.
– Complete all the necessary fields.
– If the event has booking enable Bookings.
– If the event requires bespoke booking or attendee form fields then it is worth creating these first using Events->Form Editor.
– Add the ticket types and set the name, pricing, available tickets etc.
– Review the default Cancellation options
– Select the required Booking and Attendee form
– Even though bookings can only be made by logged in users and all bookings are initially pending, in the case of some events such as County Junior Training, you may want to restrict access to certain events.
– To password protect an event, once it has been created, go into the Events list and select quick edit. On the popup enter a password in the field.
– Please ensure that the password is complex.
– This password can then be provided to selected users.
– As an editor you will be able to access ‘Booking Admin’ on the menus.
– On this screen you can manage the current bookings.
– Click on the cog icon to change the displayed fields. If the actions column isn’t present in the table you can add it using this feature. Or for that matter any other field.
– The permitted actions are: Approve | Reject | Delete | Edit/View.
– The Bookings Admin screen also allows you to download the bookings as a CSV file.
– There are two options for the download – ‘Split bookings by ticket type’ and ‘Split bookings by attendee’.
– If you wish to include the ticket fields you should select ‘Split bookings by attendee’.
– Once the file is downloaded you can manipulate the file as required.
– The same capability exist on the Manage Bookings screen on the Account menu, but at the moment this has an error and downloads all current bookings even when only one event is selected. This error has been reported to the developers.
– To amend a booking go to Events->Bookings and select the booking you wish to amend.
– If you remove an Attendee from the booking, the user will not be specifically informed of this action. It is therefore important that you communicate such with the user beforehand.
– You can resend the email to the user confirming their booking.
Account
Yes you do. So we can ensure bookings are made by known individuals and to take payment (in the future) you must register and have an account with Wiltshire Tennis.
During the trial period!
– Click on the link provided in the email received from us.
When the system is live!
– Click on Login menu item in the top blue heading.
– The Login screen will appear.
– Click Register.
– Please complete your details.
– Click Register
– The system is protected by Google reCAPTCHA. If it believes you may be a robot, then please click in the screen white space a few times and click Register again.
– Once completed you will receive an email from the system stating an administrator will need to approve your account. This is a security measure to ensure we don’t get unwanted users joining.
– Once your account has been processed you’ll receive an email informing you that your account has either been approved or rejected
– Once you are logged in you can access your account by clicking on the Account menu in the top blue header and then My Account.
– On the resulting screen you can update your account, contact details, and change your password.
– You can also delete you account, but please don’t do this unless you are sure you will not be booking events again at Wiltshire Tennis.
Booking
Only some events are bookable. In most cases you will receive an email from one of our Administrators inviting you to attend.
– Go to the Events menu option and once logged in you will notice that bookable events show a cost.
– If you are logged out the cost is not shown.
– Click on the event you would like to book.
– The Event will be displayed showing the details.
– Under Bookings, click on ‘Book Now’ or scroll down to the bottom of the screen to the bookings section.
– The first section of the Bookings section is Tickets.
– Depending in the event there may be one or more tickets available for the event. If there are more than one, then click on the relevant ticket and the number of attendees for each ticket.
– Complete the information requested.
– Mandatory fields are highlighted with an asterisk.
– Once you have completed your ticket information, at the foot of the screen a cost summary is displayed.
– If the tickets are free then please click on ‘Send your booking’.
– If the tickets are not free then you can agree to Pay Offline or Online as displayed.
– Your booking will be submitted as pending awaiting approval by one of our administrators.
– You will receive an email detailing your booking.
– Once the booking is approved you will receive an email detailing the Tickets and invoice.
– For some Events confirmations may only be processed after the booking deadline date. Please be patient we will process the bookings.
– Please bring your tickets to the event so we can check you in on our register.
– You can cancel your booking by clicking on the Account Menu on the top right off the screen and then selecting ‘My Bookings’.
– The screen will show all your events bookings.
– On the right hand side there’s an action button that will allow you to cancel your booking.
[in future we are hopefully implementing a feature that will allow you to resend your booking email, ticket and invoice.
– Some events are private and are targeted to a select audience. If you haven’t received the event invitation and you believe you should have please contact us at [email protected].
As with other event management systems you will need to bring your ticket(s) to the event so we can check you in on our register.
If you forget your ticket we can still check you in, but this will slow down the process for us and will delay your entry.
